Contact database management:
host, segment and personalize your campaigns

Your contacts are in an Excel file, a CRM export, sometimes an address book that was sent to you last week. And when it’s time to send out a campaign, you have to collect, clean and reformat everything. Time wasted before you’ve even written an email.

Ediware integrates a complete hosted database management module. You import your contacts, segment them and personalize your messages. Everything happens on the same platform that sends your e-mails. Campaigns are better targeted, open rates rise and unsubscribes are reduced.

No more toggling back and forth between different tools

Managing your contact database in one tool and sending your campaigns in another means wasting time exporting, re-importing and synchronizing. With Ediware, your database is hosted directly in the platform. You create, you segment, you send. More time spent on your campaigns, less on logistics.

What’s more, each database is built according to your needs. You define the number of fields, their names and their order. And at import time, a mapping option associates the columns in your file with the fields in your database, even when the order doesn’t match.

Import your contacts in minutes, whatever the source

Whether you start from an Excel file, a CRM export or a form on your website, your contacts enter the platform quickly. No need for developers or complex connectors. You’re autonomous, from import to dispatch.

TXT and CSV file upload

Simply upload a file in TXT or CSV format. A few clicks and your contacts are immediately available for your campaigns.

Manual addition and day-to-day management

You can also add contacts one by one directly from the interface. Individual consultation, modification and deletion. An integrated search module lets you quickly find a contact in a large database, which is particularly useful when managing several thousand recipients.

Automatic registration via forms

Registration can also be carried out via the landing page module. When a visitor fills in the form on your site, he’s registered directly in your database, without any manipulation on your part. The form uses the fields you’ve defined, no more, no less.

In terms of appearance, you have complete control over the fields displayed, the colors and the text. For integration, there are several options: a direct link, a piece of code to paste onto your site, or a page with a background image. Your database grows by itself while you concentrate on your campaigns.

Segmentation is what makes the difference between a mass mailing and a real campaign.

Sending the same campaign to your entire database is the best way to reduce open rates and generate unsubscribes. There’s nothing like segmentation to precisely target the relevant contacts for each message. More effective campaigns, recipients who stay engaged.

Named and reusable segments

You create segments that select a portion of contacts according to your criteria. Each segment is named and linked to a database, and can be reused for multiple campaigns.

If you have an “industry” field, you create a segment that selects only industry contacts. A “city” field lets you segment by geographical area. In fact, every field in your database can be used as a selection criterion.

Combine your criteria with the AND and OR operators

The system offers two combination modes. The AND operator selects contacts that meet all criteria simultaneously. The OR operator selects those who meet one or the other.

You can add a single rule or a group of rules combining two criteria. To target women located in Paris or Nantes, for example: a first rule “civility is not equal to Monsieur”, then a group with “locality Paris” OR “locality Nantes”. The segment will only select contacts matching all these conditions.

View your workforce before sending

When you adjust your criteria, the contact counter updates at the bottom of the page. You know exactly how many recipients will be targeted before you even launch your campaign. And if your base evolves between two mailings, a quick recalculation updates the segment headcount.

Dynamic personalization: each recipient receives a message that speaks to them

An email that addresses the recipient by their first name and mentions their company name has nothing to do with a generic message. Openings and clicks are immediately noticeable. And every recipient has the feeling that the message has been written for them, not sent en masse. Ediware’s dynamic personalization directly exploits the data in your database to adapt each message without any additional effort on your part.

Each database field becomes a variable

The syntax is simple: `[[data:NOM_DU_CHAMP]]`. If your database contains a “first name” field and a “company” field, you write “Hello [[data:first name]]” and each recipient receives a message with his or her own first name. No limit on the number of variables. Every column in your database can be called up.

Default values for missing data

If a field is empty for some contacts, the message will display a blank where the variable should be. To avoid this, simply define a default value: `[[data:company: “your company”]]`. Contacts whose “company” field is filled in will see their company name, others will see “your company”.

### In the subject line, the sender’s name, anywhere

Personalization isn’t limited to the body of the email. Message subject, sender’s name, reply-to address, recipient’s “To” field: variables work everywhere. And since this system is compatible with the platform’s classic variables, you can combine the two in the same message.

Host your documents without weighing down your emails

Sending a PDF catalog or a product sheet as an attachment means running the risk of having your e-mail blocked by spam filters. And a blocked email means a prospect who will never read you. The solution is simple: host your documents directly in the platform and associate them with your campaigns via a download link. Your e-mails pass the filters, remain lightweight and your documents are accessible in one click for the recipient.

Choose from docx, doc, xls, csv, xlsx, ppt, pptx, txt and pdf formats, up to 8 MB per document. Storage is secure, and links work only from campaigns sent via the emailing platform. So you can keep track of every download.

Frequently asked questions about contact lists

TXT and CSV files. A mapping option allows you to associate each column in your file with the right field in the database, even if the order of the columns differs. All it takes is a few clicks from the interface.

Yes, no restrictions. City, industry, title, customer status, or any other custom field you define. You can then combine these criteria with AND and OR operators to make selections as fine as you like.

Each column in your database can be inserted into your messages with the syntax `[[data:NOM_DU_CHAMP]]`. If the field is empty for a contact, you can set a default value with `[[data:NOM_DU_CHAMP: texte=”” alternatif”]]`. Personalization applies to the message body, subject, sender name and reply address.

Exactly. The simplified registration form automatically takes the fields from your database and records the answers directly into it. You choose which fields to display, customize the appearance and integrate the form via a link, a code on your site or a page with a background image.

That’s the principle. The system lets you combine criteria with AND and OR operators, adding simple rules or groups of rules. To take the example of women located in Paris or Nantes: a civility criterion combined with a geographic group.

Databases hosted by Ediware are stored on secure servers. Consultation, modification, individual deletion: you retain full control over your data and can delete a contact at any time, in compliance with current legal obligations.

8 MB per document. Accepted formats: docx, doc, xls, csv, xlsx, ppt, pptx, txt and pdf. Download links only work from campaigns sent via the platform, so you keep track of each access.
